Background
ExpressIT is a Customer Interface Logistics provider based in India. The company offers logistics solutions to the banking, financial services, insurance, telecom, retail and aviation industries. It generates a large volume of paper documents on a day-to-day basis. A large portion of these documents consists of the Delivery Run Sheets (DRS) generated for the deliveries to be carried out daily. Storing and retrieving these documents is an expensive and time consuming task and in the world of logistics time is gold. That is why automation is a key factor in keeping a company in this industry successful.

ExpressIT's search for a solution wherein the Delivery Run Sheets will be scanned and the extracted data exported into DMS along with being published on web portal came to an end with NetSpider® India (NIIL), ABBYY's partner, providing a complete end to end solution for data capture, document storage and retrieval.

Solution

The DRS sheets will be scanned using scanners in approximately 200 branch offices across India. The scanned images will be uploaded to the central server located in ExpressIT Head Office in Mumbai and that is where data extraction using ABBYY FlexiCapture 8.0 will be done. FlexiCapture is the most complete and comprehensive data capture solution. Capable of capturing data from all types of documents, it offers a cost-effective, easy to deploy, yet powerful alternative to manual entry and traditional ways of data input. Prior to using ABBYY FlexiCapture 8.0 all data entry at ExpressIT was done manually which obviously consumed enormous amount of time and human resources and was prone to human errors. Now with the help of ABBYY's data capture solution only 6 or 7 operators can handle up to 100000 records.

The DRS Form for ExpressIT, was designed using ABBYY FormDesignerTM. This groundbreaking technology creates document templates, which guide the data capture program in accurately locating of data fields. NIIL's technical specialists worked on customizing DMS to meet the requirements of ExpressIT.

Pilot project
The fifteen-day pilot project was undertaken up by NetSpider® India to streamline and polish the process. ExpressIT tested the new two-color DRS form which had been created using ABBYY FormDesignerTM and was very satisfied with the results. Also, in the pilot project the DMS was reviewed and all necessary amendments were made. NIIL and ExpressIT team also worked on website integration and mutually reached the desired results.
